Travel Advisor Acknowledgment — ALG Vacations Agency Cancellation Fee Program

Purpose
This acknowledgment confirms the Travel Advisor’s understanding of the ALG Vacations® Agency Cancellation Fee Program and Happily Ever After Travel’s internal requirements for participation.

Advisor Responsibility & Agreement

I understand that ALG Vacations® offers eligible agencies the option to add an agency-implemented cancellation fee to a customer booking. By choosing to use this feature, I acknowledge and agree to the following:

  1. Chargeback Responsibility
    I accept full responsibility for any chargebacks, disputes, or reversals related to an agency-implemented cancellation fee charged to my client. Happily Ever After Travel will not assume liability for these disputes.

 

  1. Client Disclosure Requirement
    Before implementing any agency cancellation fee, I must obtain signed written authorization from the client acknowledging:
    • The existence of an agency-implemented cancellation fee
    • The exact fee amount
    • The client’s understanding that this fee is separate from supplier penalties

This acknowledgment must be retained with the client’s credit card authorization documentation.

  1. Eligibility Compliance
    I understand the agency must meet ALG Vacations® Elite status requirements in order to participate in this program and therefore this program could become unavailable should the agency not meet the requirements.

 

  1. Proper Booking Procedure
    I acknowledge that:
    • The cancellation fee must be selected at the time of booking
    • The fee notification must be added before cancellation
    • The fee cannot be added after cancellation
    • I am responsible for ensuring the charge is properly applied in accordance with ALG Vacations® procedures

 

  1. Financial Processing Awareness
    I understand ALG Vacations® Accounting will deduct the fee from refunds when applicable or charge the credit card on file if no refund exists. If insufficient funds remain after penalties, I am responsible for arranging payment prior to cancellation.

 

  1. Agency Recommendation
    Happily Ever After Travel strongly recommends that this fee only be used when proper signed documentation is secured from the client. Failure to follow this recommendation increases financial risk and advisor liability.

Advisor Acknowledgment

By signing below, I confirm that:

  • I understand the risks associated with implementing an agency cancellation fee
  • I accept responsibility for any related chargebacks or disputes
  • I will obtain and retain proper client authorization documentation
  • I will follow ALG Vacations® procedures and agency best practices

I understand this acknowledgment governs my participation in this program while operating under Happily Ever After Travel.
